Free Transfers with Explore (2016 Policy)

Free Transfers
For many years, free arrival and departure transfers were only available to customers who had booked on a group trip with the preferred group flights. In 2015 we changed that policy, and now all customers that travel on an Explore group or Private Journey trip will be provided with a free of charge transfer, provided they arrive and depart on the trip only itinerary start and end dates. This is a great way to start your holiday, offering you that little extra peace of mind and comfort in the knowledge that there will be someone at the airport or station waiting to take you to your first nights’ accommodation.

Who is eligible for the free transfer?
The free of charge transfer is available to anyone that has booked on to a group or private journey trip on the condition that the flight or train arrives and departs on the day the trip only itinerary starts and ends.
The exceptions to this rule are customers who have booked on a trip where the joining and ending point is the airport or station. In this particular case there will be a specific time provided for when the trip starts and ends. On these particular trips, only one arrival and departure transfer will generally be provided for the whole group. Please ensure that your travel arrangements coincide with these transfers in order for you to meet up with the Explore leader and the rest of the group. Free transfers are not available for Self-Guided, Tailormade or Tours for Churches customers.

Where are the transfers from and to?
Transfers are from the Explore designated airport or train station to the joining point of the trip, and then back from the ending point to the designated airport or train station. Generally the airport or station that Explore have selected will be the one that is closest to the town or city where the trip starts, or the one nearest to the joining point. How are transfers arranged?
We arrange transfers through our local ground agents. They are exclusive to Explore, but you are likely to be sharing with other Explore customers arriving at a similar time. You will be met in the arrivals area of the airport or train station by a driver or local representative carrying an Explore sticker or card with your name on. You may have to wait for a while until others make their way through to the arrivals hall. If this is the case, the driver or representative will ensure that you have somewhere comfortable to wait, perhaps a café or other seated area.  You may be lucky and end up in your own private car, however this cannot be guaranteed, and most included transfers are shared and use chartered minibuses or other similar vehicles.

What if I would prefer my own private transfer or don’t want the free transfer?
Explore offers private transfers on a majority of trips at an additional cost. Please ask for a quote at the time of booking, should this be your preference. If you are eligible for the free transfer but do not need it or want it, then please be aware that we will be unable to refund you for this unused service.

What happens if I am not eligible for a free transfer?
If you intend to arrive or depart a day or more before the trip itinerary officially starts and ends, then you will be responsible for arranging your own transfer. On the majority of our trips, we can offer private transfers at an additional cost. Please ask for more information and a quote at time of booking.

I have paid for a transfer but I think I am eligible for the free transfer, what should I do?
Please contact us as soon as possible so that we can investigate this for you.

I have not booked flights/trains through Explore, how will my transfer be arranged?
In order for us to arrange the free transfer you must provide us with your arrival and departure flight/train journey details. Until you provide this information you will not have a confirmed transfer. We will send you out details of how to provide this information in your final invoice, alternatively should you wish to provide this before your final invoice is due, then you can submit your details online at Alternatively you can email your flight/train details along with your booking reference number and name to Should you wish to post your details through to us then please send them to the following address:

We ask that your information reaches us no later than 14 days before you trip starts, or we’ll be unable to arrange any transfers for you. 

I have a free transfer, what do I do on arrival at the overseas airport?
On arrival at your overseas airport you should clear immigration, collect your luggage and make your way through customs to the exit. An Explore representative will be waiting for you in the public waiting area, and will either be carrying a red and white Explore sign or one with your name on. Please look out for the representative as it will be easier for you to spot them in a crowded area, than for them to spot you.
